What is Cold Storage?

Cold Storage refers to data that you want to backup for archiving. No matter what you need to use it for, Cold Storage is perfect for businesses who want to save money by protecting data that isn’t accessed on a day-to-day basis.

How can businesses benefit from Cold Storage?

We’ve put together 5 ways you and your business can benefit from using this method of data storage.

Cost – Infrequently used files can take up valuable storage space. By archiving your data, you can reduce your overall storage costs because Cold Storage is extremely economical.

Lifetime storage – BackupGuru doesn’t charge any additional costs for Cold Storage backup. Simply choose the amount of storage you like and store it forever.

Data management – Optimize the data management process. We offer a powerful policy management tool, which means you can migrate inactive data in just a few clicks. This is perfect if you want to organize your files.

Efficiency – Cold Storage is ideal for businesses that is legally obliged to store data for compliance.

Security – Cold Storage is durable and reliable. While you will not be able to access the data right away, it is never lost. With BackupGuru, we offer military-grade encryption so you can rest assured that your data is safe.

When you request to restore data from Cold Storage, BackupGuru will take 3-5 hours to start the restore process.

  • Assign the policy to the wanted user.

If I select files to backup to both Cold Storage and Instant Storage, will it be backed up twice?

No, the selected files will not be backed up twice. The priority will always be for the Instant (Hot) Storage.

If you wish to store the data on Cold Storage, please remove the selections from the Smart Selection and the My Computer tabs, and only select them under the Cold Storage tab in the BackupGuru / BackupGuru Intelligent client installed on your computer.

What is the difference between archive and suspend computer?

If you no longer want to backup a certain computer but you want to keep its data to restore from it later, then archiving the computer is the best option for you.

Archiving a computer will remove it from your added computers while keeping the backed up files (the used space won’t be reduced). It is usually used for computers that you don’t wish to use anymore, also to save a spot for a new computer on your account (since you are allowed to add only one computer (for Home users) and three computers\user (for Business users)) while keeping the files of the archived computer available for later restore.

If you wish to temporarily stop backing up that computer, instead of archiving that computer. Suspending a computer is like pausing the backup on this computer from the server side, this doesn’t remove the computer form your “My Computers” page on the dashboard, instead, it just tells the desktop client to suspend the backup from this target computer and wait for a resume request.

Finally, Once you archive any machine, you will not be able to activate it or continue using this backup again.

What is the maximum file size that I can share?

You can share any file no matter how large as long as you have enough space in your account to store it.

Does sharing make my file public for anyone to access?

It depends where you post the shared link. If you post it on a website, then anyone who has access on the site can see the file. However, if you send it to a person and the person does not expose it, it is as private as an email. You can set the options in Add Sharing Settings to only allow one download to prevent multiple accesses to the file and send yourself delivery notifications when sharing the file.

Why “Share” in the context menu is disabled on my computer?

There are two reasons for this issue:
  • The files you want to share are not backed up: You need to add the file to BackupGuru first in order to share it.
  • These files are stored in the Cold Storage: You need to back up these files using the Instant Storage.

Optimizing yours restore speed

While you are restoring your backed up data from your BackupGuru account, the restore process will follow the download speed of your Internet connection.

If you notice that the restore is slow, then please apply the following:

  • While you are configuring the restore job, and from the Restore Options window, you can select the Use multithreaded download option. This will speed up the restore, but will consume more resources on your system.
  • image
  • While Antiviruses are very useful software to prevent unwanted software from running on your machine and protecting your data, they tend to get aggressive when they find another software that is adding files to your system, so having the Antivirus interfere with BackupGuru way of work will slow you restore significantly.

Why the files in the pending list do not get uploaded?

After running a backup, you might find files in the pending files list which haven’t been uploaded for one of the following reasons:

  • The pending files are Block Level files: By default, BackupGuru will upload the Block Level files once every 24 hours, so you’ll need to give BackupGuru some more time, and those files in the Pending list will be uploaded.

However, if you are a Business user, then you can change the frequency at which BackupGuru uploads the Block Level files by creating a policy, changing the Backup Block Level files frequency from under the Settings tab of this policy, and assigning this policy to any of your users.

  • Failed to copy: This occurs if BackupGuru failed to copy the files to the cache folder to prepare them before the upload. To solve this problem:
  • Check the Volume Shadow Copy Service (VSS): BackupGuru uses this service to back up opened and locked files, so check if this service is running on your machine, or if it needs repairing, follow the steps here.

If this file is always open or in use by other programs, you can add it to the VSS extensions list in BackupGuru which will force using the VSS service on these files each time they get backed up.

  • Check the free space on the drive that holds the cache folder: For more information, click here.
  • Make sure that you have full permissions or at least the read permission on the file, folder or directory that you want to back up. This article explains how to do that.
  • If the file in the list is stored on a network or external drive, make sure that this drive is connected and accessible and the file is not used by any other process at that time as these files will not be copied by VSS.
  • Failed to upload: Files might stay in the pending files list if there is a problem in uploading them. This can be fixed by doing the following:
  • Check your Internet connection and if you have set any special rules on your router that might be preventing BackupGuru from uploading files.
  • Check your firewall and exclude BackupGuru from being scanned by your anti-virus. You can find in this article the steps to do that.
  • Try to enable/disable using the Secure Socket Layer (SSL) within BackupGuru. You can find this option in BackupGuru client (software) under Settings → Speed or in the Policies tab on the web → under Settings → Security Settings.

Finally, keep in mind that on each run, BackupGuru will try again to re-upload these files. However, if the problem still persists, please contact us at support@BackupGuru.com

I want to uninstall\reinstall BackupGuru without losing the current backup. How can I do that?

BackupGuru stores the backup’s information and settings in the folder: %appdata%\Genie9\BackupGuru and if this folder was deleted, BackupGuru will ask you to start a new backup but you can for sure restore from the older backup you have.

To avoid deleting these settings when you uninstall BackupGuru, please make sure that the option Keep BackupGuru Settings (Recommended if you wish to reinstall) is selected.

Now, when you reinstall BackupGuru, it will immediately find the older backup data and will resume the backup automatically.

Why BackupGuru is slowing down my machine?

This happens due to your Anti-Virus Program, keeps scanning and locking each file that gets moved by BackupGuru, and this may cause a conflict. So check your Firewall or Antivirus software.

BackupGuru is a backup software, meaning that it needs to check your files for changes and modifications and communicate with the server to check the current backup state.

While this is a normal behavior for a backup software, some Antivirus software might think it is suspicious and constantly scan BackupGuru’s application files and folders, thus, making it harder to scan the files and sometimes impossible to communicate to the server.

Please try to exclude the following files/folders from your Antivirus:

  • C:\Program Files\Genie9\BackupGuru2
  • C:\Users\UserName\AppData\Roaming\Genie9\BackupGuru
  • C:\Program Files\Genie9\BackupGuru2\BackupGuru.exe
  • C:\Program Files\Genie9\BackupGuru2\BackupGuruService.exe

The website and software are blocked. Why is that?

It is possible your antivirus, firewall, or system optimization application is interfering with BackupGuru. Consider adding BackupGuru to your application’s whitelist.

Please find the steps for excluding BackupGuru files/folders from your Antivirus below:

And make sure that you have the TCP ports 80 and 443 open and available through your Firewall.

I get the error: “Oops, something unexpected happened, please check your Internet connection and try again”

I had to reinstall Windows. When I tried to re-install BackupGuru it asks me to archive my computer

BackupGuru stores the backup settings and the machine information in your (%appdata%\Genie9\BackupGuru) folder. When you move to a new machine, change the hard drive, reinstall Windows or even uninstall BackupGuru without selecting the option to Keep BackupGuru Settings (Recommended if you wish to reinstall), then this information will be deleted.

image

Now, when you reinstall BackupGuru and sign in to your account, if you have already reached the maximum number of computers*, you will be asked to delete or archive the older machines in order to be able to add the new machine.

The good news is that BackupGuru has a De-Duplication feature that will prevent uploading the same previously backed up files again. For more information, please refer to this article.

BackupGuru Home users can only back up 1 machine/user, but BackupGuru Business users can back-up up to 3 machines/user.

Where does BackupGuru store the temporary files during the backup?

BackupGuru stores these files in the Backup Cache folder. By default, this folder is stored in:

%Appdata%\Genie9\BackupGuru\Jobs\{6E820F39-1F0F-4C22-A9F6-5E7CAE6F6FA7}\Data\BackupCache

You can change its location by doing the following:

  • Right click BackupGuru agent in the system tray → select Open Dashboard.
  • From Settings → Preferences → Refer to the General tab → Click on Change Cache Drive.
  • Select the drive that you want BackupGuru to save the backup cache to and then save the changes.

My storage is full, how can I free up some space?

The used space that you can see on BackupGuru dashboard in the client on your machine or your BackupGuru online account is for all the machines and the users that you have under your account and not only for your machine\user, so to free up space, please refer to the following:

  • Delete unwanted files from the backup.
  • Remove deleted items from the backup: If you have deleted files from your machine, they will not be deleted from your BackupGuru online account, unless you specify otherwise (Using the Retention option). You can delete these files from you BackupGuru online account.

To view these deleted files, go to My Computers tab in your BackupGuru online account → From More menu, select Show Deleted.

  • Delete the file’s versions that you don’t want.
  • Delete the archived machine: If you have previously archived any of your machines and you don’t need its backup any more, then go ahead and delete this machine from your account.
  • Delete unwanted machines from the backup.

  • Refer to the Settings tab.
  • Enable BackupGuru Markers. From your computer:
  • Right click BackupGuru agent in the system tray and select Open dashboard.

Why I cannot drag/drop my files and folders into my BackupGuru online account?

The drag/drop functionality depends on which Internet browser you are using.

If you are using Internet Explorer, you’ll not be able to drag/drop the files or the folders directly into your BackupGuru online account.

If you are using Firefox or Safari, you’ll not be able to drag/drop folders directly into your BackupGuru online account. You can only do that with files.

Using Google Chrome, you’ll be able to drag/drop both files and folders directly into your BackupGuru online account.

You can use this feature only if you have Instant Storage, Instant Vault or Cold Vault.

  • Now, on your machine go to the Start menu → Control Panel → Administrative Tools → Double click Task Scheduler.
  • From the left panel of the Windows Task Scheduler, select Task Scheduler Library.
  • Locate the task named “BackupGuru Start Backup” and right-click it then go to Export —> save it to your desktop.
  • Right-Click on an empty place in the scheduler library then click on “Import”, then pick the previously exported task from where you saved it.
  • Once the task settings dialog is shown, make sure to change the task name, then from the Triggers tab, select the trigger that appears there and click on the Edit button.
  • From the window that will appear select Monthly, Yearly or Daily etc., and set your second schedule settings in terms of running time and periods.
  • Save the changes.
  • Keep in mind that if you edit the Settings in BackupGuru or the Policy, the scheduling settings in the task scheduler will be reset to the same values in the Schedule settings in the policy or BackupGuru client.
  • The same steps apply for changing the bandwidth throttling schedule, the name of the task in the task scheduler is BackupGuru Start throttle.

So, when:

  • You move your files to a new machine

  • Back up the same file from two machine or more
  • Back up the same file that is stored in two locations or more
  • When you start a complete new backup on your current one, and configure BackupGuru to back up the same files
  • When you want to move the same data from an old drive to a new one.

BackupGuru will be able to see that you’ve previously backed up the same files. According to this, BackupGuru will scan the files again but will not actually upload any of them from your side, saving your bandwidth.

On the server side, those duplicate files will be copied under the new location so you can find and restore them from any location you prefer.

De-Duplication is disabled for the files you’ve backed up using the Block Level technology

In addition, we employ a number of physical and electronic security measures to protect user information from unauthorized access. Always remember, a BackupGuru employee will never ask for your account password.

    More information

BackupGuru uses modern encryption methods to both transfer and store your data.

    • Files are encrypted before leaving your machine using 256-AES. You can specify your own encryption password (optional).
    • They are transferred over an SSL encrypted layer. You can enable this option from BackupGuru client (Software) → Settings → Connection → Enable the Use SSL option → Save.
    • The website and client software have been hardened against attacks from hackers.
    • Shared files are decrypted on the machine of the recipient.
    • The Amazon S3 storage is also encrypted using Server Side Encryption (SSE). For more information, check Amazon security overview: https://aws.amazon.com/security/.

The Security Whitepaper here gives more information about the encryption and decryption processes.

If you have specified your own encryption password, please make sure to store it in a safe place since you will not be able to recover your files if lost.
